POSITION DESCRIPTION
- Title: Office Manager & Assistant to the Executive Director (ED)
- Classification: Full-Time
- Reports to: ISA Executive Director
- Start date: 22 August 2022 (approx.)
- Hours: As per the ISA Handbook; Additional time at all ISA Championships
- Location: Hybrid solution permissible with at least 3 days per week in person at the ISA Office, 2187 Newcastle Ave, Cardiff-by-the-Sea, CA 92007, plus international travel as ISA needs
- Compensation: Compensation commensurate with experience

Office Manager and Assistant to the Executive Director Role Overview:
- Manage the ISA Office operations and support the ISA Executive Director in all his functions, as it relates general administration and coordination of his activities, including scheduling, correspondence, office management, local suppliers, IT trouble shooting, and any other tasks requested by the Executive Director. Some support and involvement in other departments (Events, Membership & Development) may be required, as well as operational support at ISA Events.
Specific Responsibilities as Office Manager
- Manage office renovations with Executive Director approval
- Schedule and manage ongoing office maintenance
- Maintain adequate office supplies
- Maintain office equipment and new equipment purchasing, with Executive Director approval
- Purchasing and maintaining phone system, and developing professional phone communications protocols for entire operation and staff
- Oversee daily email management of incoming general emails using a support person as needed
- Update office calendar and maintain office bulletin board
- Support in managing ISA storage and archives.
- Support and coordination with local suppliers
- Manage ISA Intern Program, including interviewing and assigning interns to the Marketing and Media Department, Membership Department and Finance and Admin Department.
- Manage office renovations with Executive Director approval

- Analyze insurance needs and source insurance policies to purchase, with Executive Director or President, approval, including general liability event insurance
- Provide support on trademark and legal matters

Specific Responsibilities to Support the ED
- Coordinate, support and maintain ASOIF Governance Survey, including tracking outcomes and areas for score improvement.
- Support Executive Director with Olympic, Sport Accord, ARISF, IWGA meetings and conventions
- Coordinate annual applications to ARISF and IOC for development grants
- Meeting scheduling & management of video conferencing platform(s) for ED
- General correspondence, emailing, letters, phone calls as needed
- Preparation of travel materials for the ISA Leadership
- Management of Executive Committee travel & accommodation for events
- Preparation of quarterly Executive Committee meeting materials
Program Support Responsibilities
- Coordinate, support and manage Friends of Olympic Surfing (FOS) program, including tracking complete donor database, annual dues and hosting of periodic FOS events.
- Maintain and develop company store and merchandise offerings, where applicable.
Event Responsibilities
- Manage World Championship invitations to VIPs and special guests attending events
- Source VIP and EC gifts and prepare goody bags for distribution by Executive Director
- In support to Events department, prepare ISA President Welcome letter and packet
- Event logistics and operations, as needed.
