Welcome to the 2009 Billabong ISA World Surfing Games in Costa Rica!

Please note the following important items regarding Costa Rica, the Contest and Team Registration -

1.       ISA REGISTRATION POLICY
Over recent ISA events and due to the global political climate in general, the ISA is requiring teams to be increasingly accountable for their members and the security of their members and the event.  Part of the accountability / security, is the need for team members and associated persons to be able to be identified at all times, both at the event and outside it.

Team members and associated persons may include any of the following:  Athletes, coaches, trainers, managers, translators, masseuse/chiropractors, chaperones, parents and supporters.  Additional team members may be allowed at the discretion of the ISA. 

To recognise these circumstances the ISA will from this point forward, require registration [and payment of a registration fee] for all persons the "Team" nominate as their "official group".
All "registered" persons will be required to wear their Official event wristbands continually from issue to when the event concludes.

As a registered person they will have ACCESS TO ALL SERVICES OF THE TEAM.   [Official shuttle, competitor bag, wristband, parade of nations, functions, team area on beach, etc].

The right to register a Team member stays exclusively with the NGB's Team Manager at the ISA Registration meeting before the event.  All officially registered Team members are the responsibility of the Team Manager.  NO INDIVIDUAL REGISTRATIONS WILL BE TAKEN.

The term "entry fee" will no longer be applicable as it is covered within this new registration process and fee.

Be prepared for the contest area and competitor areas to be subject to more stringent security checks and controls than in the past and please manage your teams to enable the resulting situations to be easily accepted.  Security is working on our behalf, so be pro-active to help it happen.

2.        ISA REGISTRATION PROCESS
Please read carefully.  This must be done in advance of any ISA registration meeting.

The ISA website has a list of documents and downloadable forms that MUST BE COMPLETED, SIGNED AND SUBMITTED AT TIME OF REGISTRATION. 

The ISA is not responsible for providing appropriate forms to Team Managers.  You must download prior to your arrival in Costa Rica and bring to your assigned registration meeting. 
 
The registration process is as follows: 

• Each team manager must book, in advance, a registration time to meet ISA officials at the ISA event office to register their team.  This registration meeting times are July 28 - 30 from 9:00am - 5:00pm.
• Registration Documentation

ALL DOCUMENTS AND FORMS REQUIRED MUST BE PROVIDED AND COMPLETE AT TIME OF REGISTRATION.  The WHOLE TEAM will not be registered if all documents are not present. 

We strongly recommend using the Registration Check list and Packing List, which allows you to list all persons you officially wish to register and check off the required documentation that you need for submission to the ISA staff.
 
Required documents (some documentation may be submitted to the ISA HQ prior to arrival in Costa Rica)

1.       List of team size and names 
2.       Travel & Accommodation Information, including arrival and departure dates & times and hotel 
3.       Passports - All athletes' nationality and ages must be confirmed. Actual passport and clear copies of passports must be provided at time of registration 
4.       Athlete Bios to be used for media purposes 
5.       Therapeutic Use Exemption forms.  These forms may be submitted via email or fax to the ISA HQ in advance of contest 
6.       Indemnity form for each registered team member.
FORM MUST BE COMPLETED AND SIGNED BY THE PARENT OR LEGAL GUARDIAN.  IF A LEGAL GUARDIAN IS APPOINTED, EACH ATHLETE MUST HAVE A LETTER SIGNED BY A PARENT NOTING WHO IS THE APPOINTED GUARDIAN.    
7.       Code of Conduct - forms must be completed and signed 
8.       List of team email addresses
9.       Sand - 5 (five) pounds/2 (two) kilograms of sand from the beaches of your country for the Sands of the World Ceremony.  Label the sand container with country and beach name. 
10.   National Anthem
11.   National Flag

3.       REGISTRATION FEES & OUTSTANDING BALANCES
Note:  the registration fee is the same for all classes of registrants [athletes, managers, supporters, etc]

The local currency used in Costa Rica is the Colon (¢) . 
The ISA will only will accept USD $ during Team Registration and throughout the duration of the contest.  Please bring correct payment in USD $.

The current rate for registration is USD $200 per registrant.  The ISA offers a discounted rate of USD $175 per registrant if received by the ISA 10 days prior to contest start.  For the 2009 WSG:

• Teams will pay $175 per registrant if fees are received by the ISA on or before JULY 22.
• Teams will pay $200 per registrant if fees are received on or after JULY 23. 

• Registration fees are applied to each team member, including but not limited to managers, coaches, translators, masseuse, and additional parties. 
• A surfer competing in more than one division is required to pay a Registration Fee for each division entered.
• Teams will be held accountable for payment of all registration fees of confirmed team members regardless of whether or not they are present.
• A nation will not be allowed to compete if it has any outstanding dues payable to the ISA.  Contact ISA Managing Director, Stephanie Keith at stephaniekeith@isasurf.org to verify outstanding account balances. 

4.       COSTA RICA TRAVEL INFORMATION & TIPS
Flights & Accommodations - Please submit your travel details to the ISA and FSC as soon as possible.

VISAS - Check your countries individual Visa policy regarding entry to Costa Rica to ensure you have all proper documentation in order.  Contact the ISA HQ at surf@isasurf.org should you need letters of support to assist your efforts.

The ISA recommends each team participant bring the following items:

-          Water
-          Sunscreen
-          Chapstick
-          Proper sun protection such as hats, sunglasses, cover-ups
-          Sanitizing lotions
-          Bug repellent

¡Bienvenidos a los Billabong ISA World Surfing Games 2009 en Costa Rica!

Por favor, tengan en cuenta la siguiente información, sobre Costa Rica, el Campeonato y las inscripciones del equipo.

1.       POLÍTICA DE INSCRIPCIONES DE LA ISA
Luego de los más recientes eventos de la ISA y debido al clima político global, la ISA está pidiendo a todos los equipos que estén prestando muchísima atención a sus miembros y la seguridad de éstos en el evento. Parte de la seguridad, incluye que todos los miembros del equipo y las personas relacionadas estén siempre localizables, tanto en el sitio del evento como fuera de éste.

Los miembros del equipo y las personas relacionadas incluyen a: los atletas, entrenadores, managers, traductores, quiroprácticos, chaperones, padres y fans. Otros miembros de equipo se permitirán a discreción de la ISA.

Para estar al tanto y hacer el reconocimiento de la nombrada situación la ISA, de ahora en más, requerirá registración (y pago del costo de inscripción) para todas la personas que el "Equipo" nomine como su "grupo oficial".

A todas las personas "registradas" se les requerirá el uso de su pulsera oficial del evento, durante todo el tiempo hasta que el campeonato llegue a su fin.

Como personas registradas tendrán ACCESO A TODOS LOS SERVICIOS DEL EQUIPO (transporte oficial, bolsa de competidor, pulsera, desfile de las naciones, instalaciones, acceso al área del equipo en la playa, etcétera).

El derecho de registrar a un miembro del Equipo es exclusivo del Team Manager elegido por la Federación Nacional y el Team Manager en el stand de registro de la ISA antes del evento. Todos los miembros de equipo oficiales serán responsabilidad del Team Manager. NO SE ACEPTARÁN INSCRIPCIONES INDIVIDUALES.

El término "costo de inscripción" no será más aplicable de la misma forma que antes, ya que el proceso de registro es nuevo.

Prepárate para el área del evento, las áreas de los competidores y el acceso a la Base Militar en Ecuador estarán sujetas a más exigentes revisiones de seguridad que en el pasado, por favor dirige a tu equipo para que estén preparados a que las cosas sean hechas de forma eficiente, para que sean fácilmente aceptados. La seguridad funciona de acuerdo a lo que nosotros hagamos, por lo tanto sé proactivo ayudando que esto pase.

2.        PROCESO DE REGISTRO DE LA ISA
Por favor lee cuidadosamente. Esto debe hacerse antes de cualquier reunión de registro con la ISA.

La página web de la ISA tiene la lista de documentos disponibles para ser bajados, las formas deben ESTAR COMPLETAS, FIRMADAS Y ENTREGADAS EN EL MOMENTO DE LA INSCRIPCIÓN.

La ISA no se responsabiliza de proveer las formas requeridas a los Team Managers.  Debes bajarlas antes de llegar a Costa Rica y traerlas a tu asignada reunión de inscripción.

El proceso de inscripción es el siguiente:

• Cada Team Manager debe agendarse, de forma adelantada, una hora de inscripción para reunirse con los oficiales de la ISA en la oficina del evento para registrar a su equipo. Dichas reuniones serán realizadas desde el July 28 - 30 desde las 9:00 am hasta las 5:00 pm.
• Documentos de Registración

TODOS LOS DOCUMENTOS Y FORMULARIOS REQUERIDOS DEBEN ENTREGARSE COMPLETOS A LA HORA DE LA INSCRIPCIÓN.
No se registrará a TODO EL EQUIPO si todos los documentos no son presentados. 

Especialmente recomendamos el uso del Lista de ítems para registro de equipo y Lista de empaque, que te permite enlistar todas las personas que oficialmente quieres registrar y hacerle tick a la documentación requerida para que la tengas a mano en el momento que hagas las inscripciones frente al Staff de la ISA.

Los documentos requeridos (algunos de ellos pueden entregarse a las Oficinas Generales de la ISA antes del arribo a Costa Rica)

1.       Lista del tamaño del equipo y sus nombres  
2.       Información del viaje y del hospedaje, incluyendo fecha y hora de llegada y salida y el nombre del hotel 
3.       Pasaportes: De todos los atletas, la nacionalidad y la edad debe ser confirmada. El propio pasaporte y copias claras del mismo deben entregarse. 
4.       Biografía de los atletas para uso de los medios. 
5.       Formularios de Exención por Uso Terapéutico. Éstas formas deben ser enviadas vía email o fax a las Oficinas Centrales de la ISA antes del evento. 
6.       Formulario de indemnización para cada miembro del equipo.
EL FORMULARIO DEBE SER COMPLETADO Y FIRMADO POR SUS PADRES O EL CUSTODIA LEGAL. SI UN CUSTODIA LEGAL ES INDICADO, CADA ATLETA DEBE TENER UNA CARTA FIRMADA POR ALGUNO DE SUS PADRES REMARCANDO QUIÉN ES EL CUSTODIA LEGAL ELEGIDO.
7.       Código de Conducta- los formularios deben entregarse completos y firmados
8.       Lista de direcciones de correo electrónico de los atletas
9.       Arena- 5 (cinco) libras /2 (dos) kilogramos de arena de una playa de tu país para la Ceremonia de las Arenas del Mundo.  Etiqueta el paquete que trae la arena con el nombre de tú país y el de la playa. 
10.     Himno Nacional
11.     Bandera Nacional 

3.       TARIFAS DE REGISTROS Y BALANCES FUERA DE FECHA
Nota: La tarifa de inscripción es la misma para todas las clases de inscriptos (atletas, managers, fans, etcétera).

La moneda local en Costa Rica es el Colon (¢) .
La ISA solamente aceptará Dólares Americanos durante el proceso de inscripción del equipo y durante la duración del evento. Por favor trae el monto correctos en Dólares Americanos.

La tarifa actual para inscribirse es 200 por persona. La ISA ofrece un descuento, bajando a 175 Dólares Americanos por persona si se recibe el pago diez días antes del comienzo del evento. Para los WSG 2009:

• Los Equipos pagarán 175 por persona si se reciben los pagos por la ISA antes del 22 JULY.
• Los Equipos pagarán 200 por persona si se reciben los pagos por la ISA el 23 JULY.

• La tarifa de inscripción se aplican a cada miembro de equipo, incluyendo pero no limitado a los managers, entrenadores, traductores, quiroprácticos y personas relacionadas.
• Un surfista compitiendo en más de una división debe pagar la tarifa por cada división en la que compite.
• Los Equipos se verán obligados a pagar el monto total confirmado, sin importar si se hacen presentes o no.
• Una nación no podrá competir si tiene deudas sobresalientes con la ISA. Contacta a nuestra Manager Director, Stephanie Keith al stephaniekeith@isasurf.org para verificar los balances sobresalientes.

4.       INFORMACIÓN DE VIAJE A COSTA RICA Y CONSEJOS
Vuelos y Hospedaje - Por favor envía los detalles de tu viaje a la ISA y FSC lo antes posible.

VISAS - Verifica las políticas de tu país con respecto a la entrada a Costa Rica para estar seguro de contar con toda la documentación en orden. Contacta a las oficinas generales de la ISA al surf@isasurf.org en caso de necesitar cartas que te sean de ayuda para el proceso. 

La ISA recomienda a cada participante de equipo que traiga los siguientes ítems:

-          Aqua
-          Protector Solar
-          Protector de labios
-          Gorros, Sombrillas, lentes de sol, protección apropiada del sol
-          Lociones desinfectantes
-          Repelente de insectos
